How can we help?

Unit codes, QR labels and the Scannable checkbox

Give each physical item its own code, print labels, and scan gear out and back in.

Plan: ProWho: Everyone

For gear you own many of, unit codes give every physical item its own identity — CHAIR-A1B2 stuck on the leg — so you can scan things out and back in and know exactly which unit is missing. This workflow lives on the Pro plan.

Step 1 — mark products Scannable#

Each product row in Inventory has a Scannable checkbox. Tick it for the products you want to track piece by piece — chairs, tables, linens, anywhere "we came back one short" happens.

Step 2 — create units and print labels#

Open the Check-in / out tab. In Units & labels, pick a product, say how many, and click Add units — each unit gets its own code. Then Print labels prints a sheet of QR labels; stick them on the items somewhere that survives cleaning.

Step 3 — scan out, scan in#

At load-out, use Use camera to scan each label (or type the code and hit Look up), then Check out against the booking. When the truck comes back, scan again and Check in. The tab shows each product's counts: available, out, and in maintenance.

Why bother#

After one weekend you will know precisely which booking lost which chair — and your counts stay true without a clipboard. Start with just your most-lost item; you do not have to label the whole warehouse on day one.
