Booking notes: where they come from and where they show up

Notes are how the customer talks to your crew. Here is every place a note can enter a booking, and every place it surfaces.

Notes on a booking come from three places, and all of them end up in the same two spots: the booking detail in Bookings, and the printed pull sheet your crew carries.

Where notes come from#

  1. The customer at checkout. Your storefront asks for special instructions and, on delivery orders, access notes — "gate code 4412", "setup goes in the backyard", "no truck in the driveway". These arrive attached to the request automatically.
  2. You, on a phone order. The Notes field at the bottom of the + New booking form is the same thing, typed by you while the customer talks. Write for your crew, not for yourself — they are the ones reading it at 7 a.m. on a Saturday.
  3. Nowhere else. There is no separate note-editing box on an existing booking, so capture instructions when the order is created.

Where notes show up#

Open the booking and the notes appear in the facts section of the detail. Press Print pull sheet and they print in the Event section — which is the whole point: the gate code travels with the truck.

Notes about the customer vs notes about the order#

"Bring the short stakes, lawn is thin" belongs on the booking. "Always pays late" or "prefers morning deliveries" belongs on the *customer*, so it is there for every future order — on Pro, open their record in Customers, type it in the notes box and press Save notes. Booking notes die with the booking; customer notes follow the person.

★
Make a habit of asking one question on every phone order: "Anything my crew should know about the location?" — then type the answer straight into Notes.
