Check-in / out: scanning gear out and back

Give each unit a code and a label, then scan it out to a booking and back in on return — so you always know where every piece is.

Check-in / out tracks your gear at the unit level: not "we own 10 tables" but "table #7 is on order 4189, out since Saturday". You scan (or type) a unit's code to check it out to a booking when it leaves, and check it back in when it returns. It is a Pro feature, and it is how "how many do we actually have right now?" stops being a warehouse argument.

One-time setup: units and labels#

  1. In a product's settings in Inventory, turn on Scannable.
  2. In Check-in / out, use Add units to create individual units for that product — each gets its own code.
  3. Press Print labels to print a barcode/QR sticker per unit. Zip-tie or adhesive them somewhere they survive rain and stacking.

Start with your expensive, loss-prone gear — inflatables, heaters, AV — not your 400 folding chairs.

Checking out (gear leaving)#

At load-out, scan the label with Use camera, or type the code and press Look up. The unit card appears — pick the booking it is leaving on and press Check out. The unit's status flips to "out" and it is tied to that order. Now the answer to "where is heater #3?" is a lookup, not a memory.

Checking in (gear returning)#

When the truck comes back, scan each unit and press Check in. Two paths:

  • Came back fine → status returns to available. Done.
  • Came back damaged → tick "Returned damaged / needs maintenance" before checking in. You can bill a damage charge straight to the booking it was out on, and the unit lands in maintenance instead of available — so it cannot be sent out broken. See "Damage charges at check-in".

The habit that makes it work#

Scan at the truck, both directions, every time — the system is only as honest as your worst load-out. The product rows in Check-in / out show the running truth: how many units exist, how many are available, out, or in maintenance.

★
No barcode scanner needed — Use camera works with your phone's camera, and typing the code with Look up always works as the fallback.
