Will-call vs delivery: what your customers choose
Will-call means the customer picks up from you. Here is how the options work at checkout, and how to decide what to offer.
At checkout your customers choose how they get the gear: Pickup (will-call), Delivery + curbside, or Delivery + setup. Which of those they see is up to you — flip the options on or off in Settings under "What you offer".
What each one means#
- Pickup (will-call): the customer comes to you, loads, and returns it themselves. No fee, no truck time. Their vehicle is the limit — tables and chairs fit in an SUV; a 20x20 frame tent does not.
- Delivery + curbside: you bring it to their address and drop at the curb or door; they handle placement. Priced automatically by distance from your base (see "Delivery zones: pricing by distance").
- Delivery + setup: you deliver *and* install. Setup pricing comes from each product's setup fee in Inventory, so it scales with what is on the order.
The customer's choice lands on the booking as its fulfillment method — you will see it on the booking detail, on the pull sheet, and it determines whether the order shows up as a run in Delivery.
Deciding what to offer#
Will-call is great for small items and for customers watching every dollar — and every will-call order is a truck run you do not make. But think it through per product line: inflatables are the classic exception, since most companies deliver them exclusively (setup, anchoring and safety are on you, and your insurer likely agrees). Many owners offer will-call for tables, chairs and linens, and delivery-only for bounce houses and tents.
Running will-call well#
- Set pickup and return windows when you confirm, and put them in the confirmation conversation — will-call orders do not appear on the Delivery run sheet, so your calendar is the reminder.
- Check the gear out and in with Check-in / out scanning just like a delivery, so "still out at a customer" is never a mystery.
- Collect the balance at pickup and record it in the booking's Payments ledger before the gear leaves.
