Maintenance flags and Mark available
A unit in maintenance cannot be sent out by mistake. Flag it when it needs work, fix it, then Mark available to put it back in rotation.
Every scannable unit in Check-in / out is in one of three states: available, out, or maintenance. Maintenance is the parking brake — a unit flagged for it is out of rotation, so a blower with a torn housing or a canopy with a broken strut cannot quietly end up on Saturday's truck.
How units get flagged#
- At check-in — the usual way. A unit comes back rough, you tick "Returned damaged / needs maintenance" as you scan it in (see "Damage charges at check-in" if the customer owes for it).
- Anytime you spot a problem — scan or Look up the unit and set it to maintenance on the spot. Mid-season warehouse walk-throughs catch a lot this way.
The product's row in Check-in / out shows the tally — units total, available, out, in maintenance — so you can see at a glance that you *own* six heaters but can *rent* four.
While it is flagged#
The flag is your repair queue. Work it like one:
- Check the queue weekly in season; every flagged unit is capacity you are paying for and not renting.
- Repairs that cost money for a customer-caused problem should already be billed on the booking (Add charge if something surfaced later).
- If a unit is beyond repair, retire it and adjust the product's quantity in Inventory so availability stays honest.
Back into rotation#
When the repair is done, scan or look up the unit and press Mark available. It rejoins the pool immediately and can be checked out on the next order. Do not mark it available "because Saturday is busy" — a unit that fails at a ten-year-old's birthday party costs more than the booking it saved.
