Event types and guest counts — small fields, useful data

Both are optional, but filling them in tells you what business you are actually in and helps you size every order.

Event type ("Wedding", "Birthday", "Corporate") and guest count are optional fields on a booking — customers can supply them at checkout, and you can type them in the Event type field when entering a phone order with + New booking. When present, they show on the booking detail, and both print on the pull sheet.

Why event type is worth 5 seconds#

Event type feeds your Reports. After a season you can see what you actually serve — and owners are regularly surprised. If 60% of your revenue is birthdays but your website leads with weddings, that is a marketing decision waiting to happen. It also changes how you prep: a corporate order gets an invoice-ready paper trail; a quinceañera gets the backdrop checked twice.

Why guest count is worth asking#

Guest count is your sanity check on the order. 200 guests and one 20x20 tent? Say something *before* the event — the customer will remember that you did. It also drives upsells naturally: guests tell you how many tables, chairs, linens and place settings the order should probably include. On the phone, "About how many people are you expecting?" is the single highest-value question you can ask.

Edge cases#

  • Both fields are blank on many storefront orders — customers skip optional fields. Phone orders are your chance to do better than your website.
  • Guest count is informational; it does not change pricing or availability. If you price an item per guest, build that into the product itself in Inventory.
